2. Scope of this policy
This policy applies to personal information we collect through this website, including our contact and strategy call request forms, and through related business communications. It does not cover the websites of third parties linked from our site, or personal information we process on behalf of our clients under separate agreements, which is governed by those agreements and the clients’ own privacy policies.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other privacy laws that apply to our activities.
3. Information we collect
Information you give us
When you submit our contact form or strategy call request form, we collect:
- your full name, business email address and company name;
- your website address, if you choose to provide it;
- the services you are interested in, your preferred meeting times and time zone (strategy call requests only);
- the content of your message; and
- a record that you confirmed you had read this Privacy Policy, with the date and time of your submission.
Please do not include sensitive personal information (for example, health or financial account details) in your message.
Information collected automatically
- Security and anti-spam data. When you submit a form, our server uses your IP address to apply rate limits that protect against abuse. We store a one-way hashed version of the IP address, not the address itself, for this purpose, and these records are automatically deleted, typically within 24 hours.
- Server logs. Like most websites, our hosting provider may record technical information such as IP address, browser type, pages requested and the time of the request in server logs for security and operational purposes.
- Cookies and similar technologies. We use strictly necessary cookies to run the website and protect our forms. We use analytics and advertising cookies only if we have enabled those services and you have consented. See our Cookie Policy.
Business contacts
If you or your organisation become a client, supplier or partner, we collect business contact information and other information reasonably required to manage that relationship.
4. How we use personal information
We use personal information to:
- respond to your inquiry or strategy call request and communicate with you about it;
- assess, propose, provide and manage our services;
- keep records of our communications and of the consent you provided;
- protect our website, forms and systems against spam, fraud and misuse;
- understand how our website is used and improve it (only with analytics consent, where required);
- measure the effectiveness of our own advertising (only with advertising consent, where required); and
- comply with legal obligations and enforce our terms.
We will not use your personal information for purposes that a reasonable person would not consider appropriate in the circumstances. We do not send commercial electronic messages without the consent required under Canada’s Anti-Spam Legislation (CASL).
5. Consent
We collect, use and disclose personal information with your knowledge and consent, except where otherwise permitted or required by law. When you submit a form, you provide express consent for us to use the information to respond to your request. Where we rely on cookies or similar technologies that are not strictly necessary, we ask for your consent through our cookie banner.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us or, for cookies, by using the “Cookie settings” link in the website footer. Withdrawing consent may affect our ability to respond to you or provide services.
6. How we share personal information
We do not sell personal information. We share it only as described below:
- Service providers who help us operate our business, such as website hosting, email delivery and, where enabled with your consent, analytics and advertising platforms (for example, Google). These providers may only use personal information to provide services to us and are expected to protect it.
- Professional advisers, such as lawyers and accountants, where reasonably necessary.
- Legal requirements, where required or permitted by law, such as in response to a valid court order or to protect our rights, property or safety.
- Business transactions, such as a proposed or completed sale or reorganisation of our business, subject to appropriate confidentiality protections.
7. Storage and processing outside Canada
Some of our service providers may store or process personal information outside Canada, including in the United States. When information is located in another jurisdiction, it is subject to the laws of that jurisdiction and may be accessible to its courts, law enforcement and national security authorities. We take reasonable steps, including contractual measures, to ensure comparable protection.
8. Retention
We keep personal information only as long as necessary for the purposes described in this policy or as required by law. In general:
- inquiries that do not lead to a business relationship are kept for a limited period to allow follow-up and then deleted or anonymised;
- information relating to clients and suppliers is kept for the duration of the relationship and for a period afterwards to meet legal, tax and contractual obligations;
- records of consent are kept as long as needed to demonstrate that consent was obtained; and
- anti-abuse rate-limiting records are deleted automatically, typically within 24 hours.
When personal information is no longer required, we securely destroy, erase or anonymise it.
9. Safeguards
We protect personal information with safeguards appropriate to its sensitivity, including encrypted connections (HTTPS) where configured, access controls, protection of form submissions against automated abuse and cross-site request forgery, and limiting access to people who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If a breach of security safeguards involving personal information under our control creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.
10. Your rights and choices
Subject to applicable law, you may:
- request access to the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
